Apprentice Bookings Coordinator – TAO STAFFING SOLUTIONS LIMITED – HG1 4ST

Workforce Coordination:

• Manage daily temporary staffing requests across departments
• Coordinate the booking and allocation of temporary workers to fill vacancies and short-term staffing requirements
• Ensure all shifts are covered in a timely and cost-effective manner

Client and Worker Liaison:

• Act as the primary point of contact for care organisations
• Build positive working relationships with temporary workers and clients
• Communicate shift requirements, cancellations, and booking confirmations to temporary workers
• Resolve booking issues and escalate concerns when necessary

Administrative Support:

• Maintain accurate records of bookings, worker details, and attendance
• Update workforce management systems and databases

Compliance and Governance:

• Prior to booking ensure all temporary workers meet required compliance standards, including right-to-work documentation, training, and relevant clearances
• Monitor agency compliance against contractual requirements
• Support audits by maintaining accurate staffing records
• Adhere to data protection and confidentiality requirements

Customer Service:

• Provide a professional and responsive service to managers and temporary workers
• Respond to staffing requests and enquiries promptly

• Develop workforce coordination skills by managing staffing requests, allocating temporary workers to shifts and helping ensure vacancies are covered promptly and efficiently.
• Learn how to provide professional customer service by responding to enquiries, confirming bookings, communicating shift changes and maintaining positive relationships with clients and workers.
• Develop communication skills when liaising with care homes, nursing staff, temporary workers and colleagues by telephone, email and other communication channels.
• Learn how to maintain accurate booking records, worker details, attendance information, databases and workforce management systems.
• Develop knowledge of compliance procedures, including checking right-to-work documents, training records and relevant clearances before workers are booked.
• Learn how to follow data protection, confidentiality and organisational procedures while handling sensitive worker and client information.
• Develop problem-solving and decision-making skills by resolving booking issues, responding to changing staffing needs and escalating concerns when necessary.
• Learn how to use IT packages to prepare correspondence, update databases, analyse information, produce reports and support administrative processes.
• Develop organisational skills in managing priorities, meeting deadlines, coordinating tasks, maintaining records and supporting audits.
• Build professional skills in teamwork, initiative, relationship management, continuous improvement and effective workplace communication.
• Complete a nationally recognised Level 3 Business Administrator qualification alongside practical workplace experience.
